Processing Payday Super Payments

This guide will explain how to make a super payment from a completed payrun in Microkeeper using the beam super clearing house integration. Payday Super is handled from the payrun so the super contribution is tied to the same pay cycle, pay period, staff and payment date that were used to complete payroll.

Prerequisite - Sign up to Beam Super

Before you can process a super contribution through Microkeeper you will be required to sign up to Beam Super.
Navigate to Menu > Payroll > Super
Click the Setup Beam button to begin the sign up process.


Before you start your Super Payment

Before processing super, make sure:

  • The payrun has been completed
  • The payrun payment date is correct
  • Employee super funds, member numbers, TFNs, dates of birth, and addresses are up to date.
  • The business bank account has been verified

How to process a Payday Super contribution payment

Payday Super can be processed within the completion steps of a payrun.

Navigate to the Payday Super page

Payday Super can be processed with the completion steps of a payrun.

  1. Navigate to Menu > Payroll > Payruns > click View on the payrun
  2. Click the Complete Payrun button
  3. Click step 4. Pay Super

The Pay Super page has three main tabs:

  • Process Log: shows super batches submitted for this payrun and their current status.
  • Members: shows member number responses returned from super funds for staff in this payrun
  • Refunds / Skipped shows refunded or skipped employee contributions that need review.

Create a New Super Submission

On the Payday Super page:

  1. Click New Super Submission
  2. Review the submission details: pay cycle and payrun, pay period and payment date
  3. Choose which staff to include.
  4. Click Prepare Super Report to begin the contribution.

Staff Options

  • All Staff (Recommended): includes all staff in the payrun
  • Staff without errors: excludes staff who currently have blocking super errors
  • Manually select staff: lets you choose specific staff from the payrun

For normal payrun processing, use All Staff unless you have a clear reason to process a smaller group.

Review the Super Contribution Report

The Super Contribution Report groups staff by super fund and shows the contribution data that will be sent to Beam.
Review employee names, member numbers, dates of birth, super fund details, contribution amounts, fund totals and the totals for all super funds.
Use Export CSV if you need an offline copy of the report.

Actioning Errors before Super can be Processed

If there are any missing or incorrect details during the validation on the payment, a red error box will appear with a list of all errors that must be fixed before super can be processed.

Once any errors have been amended, click the "Refresh" button to confirm.

Submit Super

  1. Click Submit Super
  2. Confirm the Super to be paid amount by enter the same amount in the confirmation field.
  3. Tick I have reviewed report
  4. Click Reviewed

Microkeeper then validates the contribution data with Beam.
If Beam returns any validation errors, this will be returned before you can process the super payment. Review the messages shown on screen and correct the linked employee, fund, business, or bank details.

If validation passes, Microkeeper will shhow the direct debit notice and the Pay Super button.
Click the Pay Super button to send the contribution to Beam for processing.

After submission, Microkeeper shows a success message and records the batch in the Process Log.


Track and review the Process Log

Open the Process Log tab to track the submitted batch.
The log will detail:

  • Submitted: Who submitted the contribution with the date and time of the contribution.
  • Period: The period of the submission.
  • Group ID: Which group of employees this was submitted for.
  • Total: The payment total of the contribution.
  • Status:The status of the contribution
    • Received: Beam has received the super contribution data.
    • Waiting: Beam is waiting for direct debit funds to be received. This can take up to 2 business days.
    • Clearing: Payment has been received and is waiting to clear.
    • Paid: Payment has been received. Funds are being distributed.
    • Processed: Contribution has been processed with no current refund action required.
    • Partial: Contribution has been processed, but one or more member contributions were refunded.
    • Duplicate: Beam or Microkeeper detected a matching previous submission.
    • Failed: The contribution data did not pass through successfully. Review the messages and try again after fixing the issue.
    • Dishourned: The direct debit payment was unsuccessful. Check bank details and available funds, then process again.
    • Refunded: Beam could not distribute funds and a refund has been supplied to the business account.
    • Cancelled: The contribution has been cancelled.

Viewing the Beam Contribution Data in Detail

An Audit Report can be generated to view the data for any submitted contribution.

Click the three horizontal dots on any contribution in the list and select "View Audit Report".


Review Member Number Updates

Open the Members tab to review member number responses from super funds for staff in this payrun
The tab shows message, employee, USI , member number, and Microkeeper action.
Microkeeper may save returned member details automatically when the response matches the employee's current fund details. If the fund details no longer match, the member number may not be saved and show be reviewed manually.
Open the employee link to check or update Employer Super details.


Review Refunds and Skipped Contributions

Open Refunds/Skipped to review super amounts that were either refunded by a fund or skipped during processing.
The tab shows the message, Batch ID, employee, USI, member number, refund reference, and refund amount.
For refunded items, review the message and correct the underlying employee or fund details before reprocessing.

  1. Tick the refunds to retry.
  2. Select Redo Selected
  3. Review the generated super report.
  4. Confirm employee details, super fund USI, and member number
  5. Validate and pay the selected refund amount through Beam.

Cancelling a Super Contribution

A super contribution can be cancelled on the Process Log page if the submission hasn't passed the "Waiting" status.

Navigate to Menu > Payroll > Super > Process Log

Click the three horizontal dots on any contribution in the list and select "Cancel Contribution".


Viewing all historical Super Contributions

A list of all super contribution batches for a financial year can be found on the Super page.
